This notice describes the Mac beta and this public information website. The Gmail integration described here runs on the user’s Mac; Gmail access is not available in the hosted web version.

Your application workspace

The app works with information you provide or choose to collect: your profile, CV and supporting documents, job preferences, opportunities, application answers and submission history. The Mac version stores its archive on your device.

When you use AI-assisted application features, relevant non-Gmail profile, job and application information can be sent to the AI provider configured for that operation. The provider processes those requests under its own terms and privacy policy. When you authorize an application, the information required by the employer or its application platform is shared with that recipient. Their privacy policies govern their subsequent handling of it.

Exports and optional migration can copy application information to the destination you choose. Google credentials and private Gmail receipt records are excluded from the app’s export and hosted migration paths. A generic application-confirmation status can remain part of application history.

Optional Google and Gmail access

Connecting Gmail is optional and starts only when you choose Connect Gmail and authorize access through Google. Apply Jobs requests gmail.readonly, which grants read access to your Gmail account. The application narrows its actual searches to candidate acknowledgement emails using information from applications already in your archive. Google’s permission itself is broader than those searches.

The app uses the connected account address to associate the mailbox with your local workspace. It reads candidate message headers and limited message content to assess whether an email relates to a job application. Current receipt support focuses on Ashby. Uncertain messages are not treated as proof of a successful application.

The Mac backend communicates directly with Google. Raw message content is processed in memory and is not retained as a mailbox archive. Refresh credentials are stored in macOS Keychain; short-lived access tokens stay in memory. Settings and account metadata are stored in the local archive. If a receipt is verified, minimal private evidence can include a message identifier, sender, timestamp, content hash and associated application reference.

Gmail content and private receipt evidence are not sent to AI models or vendor-operated application servers. We do not sell Gmail data, use it for advertising, or use it to train general-purpose AI models. The integration does not send, modify, delete or mark email as read.

Apply Jobs’ use of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Your Gmail controls and retention

Automatic checking is disabled by default and requires a separate choice. You can disconnect Gmail in Settings and revoke access in your Google Account connections. Disconnecting stops new checks, clears the active account association and attempts to remove local credentials and revoke Google access; if remote revocation fails, the app reports that separately. A cleanup reference may remain if credential removal fails.

Disconnecting does not erase existing application history. Retained receipt evidence and operational settings remain with your archive until it is removed. You control deletion of the local archive and any exported copies or device backups. Contact us for help locating or removing that information; there is no promise of an automatic history-deletion button.

Keychain protects stored credentials. Local application metadata is protected by device and filesystem access controls; it is not separately encrypted by the app. Protecting your Mac and backups remains important.

This website and support

This information website does not set application analytics or advertising cookies and has no account-registration form. It is hosted through Cloudflare, which processes network and request information, such as IP addresses, to deliver and protect the website. See Cloudflare’s privacy policy.

If you contact us by email, we receive the address and information you include and use them to respond, support the product and maintain necessary correspondence. Please do not send mailbox tokens, passwords or unrelated private messages. Support correspondence is retained only as needed to handle your request, meet legal obligations or address disputes; you may request deletion.

Purposes, rights and contact

We process information to provide the features you request and answer support enquiries. Optional Gmail access is based on your explicit authorization, which you can withdraw. Security and abuse prevention serve our legitimate interests; records that must be kept by law are retained to meet those obligations. Depending on your circumstances, you can request access, correction, deletion, restriction or portability, and object to applicable processing.

External service providers may process information outside your country. Their applicable terms and safeguards govern those services. You may contact us at info@synaptixhq.com to exercise your rights or ask about a specific data flow. You also have the right to complain to a competent data-protection authority, including Italy’s Garante per la protezione dei dati personali.

We will update this notice if the product’s handling of data changes and show the effective date here. Additional access will require the relevant authorization; Google verification is currently pending.
